Conducting a Web Conference (Chairperson)

Start a Web Meeting

To begin your web meeting:

1. Log into eVoice.
2. Access the Conferencing Page:
- Click the "Conferencing" button at the top-right of the eVoice page to open the Conferencing page.
- Under "Web Conferencing," click the "Start or Schedule a Web Conference" button. This will open the Conference Center (your eVoice credentials will grant you access).

3. Select Your Meeting:
- If you have already scheduled a meeting, choose it from the list of pending meetings. If not, you can schedule a meeting now or send an on-demand web conference request (for details, see "On-Demand Web Conferences").
- After selecting your meeting, click "Open Meeting Controls." The Java applet for Conference Controls will activate (this may take a few moments to load; close any unnecessary windows if prompted).

4. Start the Meeting:
- When the Conference Controls panel appears, click "Start Meeting" in the toolbar at the top of the screen. Participants will automatically join the meeting when they log in using the credentials you provided via email.

5. Share Your Screen or Application:
- To share your screen, select "Share Desktop."
- Alternatively, you can use "Share Applications" to choose a specific application to share, allowing participants to view only that application.

**TIPS:**
- To use the Video Conferencing feature, click "Enable Webcams" (for more information, see "Video Conferencing for a Web Meeting").
- To invite additional participants, select your meeting from the list and click the "Send Invitations" button. Follow the on-screen instructions to send invitations.
- To cancel a meeting, select your meeting from the list of pending meetings and click the red "Cancel Meeting" button.

 Start a Conference Call (Audio)

As the chairperson, follow these steps to start the audio conference call:

1. Dial the Conference Center at the provided number.
2. Enter your seven-digit access code (e.g., 2279884) and press #.
3. Confirm your role by pressing * to indicate that you are the chairperson.
4. Enter your four-digit chairperson passcode (e.g., 1015) and press #.

 

**NOTE for Participants:**
You will automatically join the meeting when you call in. Use the provided commands to mute or unmute your line.
