Understanding Greeting Types

User Greetings Overview

Note: The term "user" includes the account administrator.

There are four main greeting components:

1. Personal Greeting

2. Voicemail Greeting

3. Recorded Name

4. On-Hold Music

1. Personal Greeting

The Personal Greeting is the first message your callers hear when they dial your eVoice number. It plays before the system processes their call. Depending on your settings (found in Settings > Call Settings), your callers may hear:

- A greeting, followed by the option to record their name, then on-hold music (call-screening).
- A greeting followed by on-hold music.
- On-hold music or message only.
- "Connecting call," followed by ringing.
- Ringing only.

If you select one of the first two options, the system will use the following default greetings:

- First Option (Call-Screening):
"Hi, you've reached the personal assistant for [your name]. Please tell me your name, and I'll try to connect you." The system then prompts the caller to wait with a message—"Please wait while I try to connect you,"—followed by on-hold music or a custom on-hold message.

- Second Option:
"Hi, you've reached the personal assistant for [your name]. Please wait while I try to connect you."

You can use these default greetings or create a custom greeting by choosing one of the following methods:

- Automated Voice:
Provide a text script, and the eVoice system generates a computerized voice greeting.

- Professionally Recorded:
A studio-based voice actor records your greeting for a fee. For messages up to 125 words, the cost is $25, with an additional $5 for every 25 extra words. If the greeting is submitted within seven days of sign-up, this service is free for the account administrator.

- Own Uploaded File:
Upload a custom recording of your greeting, voicemail, or on-hold music. Files can be up to five minutes in length or 10 MB in size.

Important:
If you choose call-screening, ensure your custom greeting includes a prompt for the caller to leave their name after the beep. This prevents the caller from mistaking the beep for a voicemail prompt.

2. Voicemail Greeting

This is the greeting callers hear when sent to voicemail if you’re unavailable. The default voicemail greeting is: "[Your name] is not available at the moment. Sending you to voicemail. Begin speaking at the tone." You can customize this greeting through the same methods as above. Additionally, you can create an after-hours voicemail greeting for when your business is closed.

3. On-Hold Music (or Message)

When callers are placed on hold after dialing your extension or direct-dial number, they will hear on-hold music or a message. You can upload your own selection (up to 10 MB).

4. Recorded Name

Your recorded name is used in both personal and voicemail greetings. You can use the default name provided during sign-up or record your own through automated voice, professional recording (for a fee), or by uploading a custom message.

Auto-/Sub-Attendant Greetings

The account administrator manages the greetings for auto-attendants and sub-attendants. They can keep the default business greeting or create a custom one using automated voice, professional recording, or an uploaded message.
