eVoice Account Manager: Auto Attendant

What is a Auto Attendant?

An auto attendant allows you to create a professionally record auto-attendant to answer your calls.

For example: Welcome to ABC Flowers. Dial 1 for sales, Dial 2 for delivery information, Dial 3 to leave a voicemail. 

 

Enable Auto Attendant 
> You will receive a prompt asking you to enable your phone system
> Select Yes 

 

Add Auto Attendant 

  1. Log into your eVoice Account Manager 
  2. Go to Phone System Manager 
  3. Click on Auto Attendant 
  4. Select Add Auto Attendant
  5. Enter Phone System Name 
  6. Select a Number Type
  7.  Click Next

You will be prompted to to add an extension, this is optional and can be done later.

Add Number to List
Once you have created a phone system you can add multiple numbers to the same phone system, this could include different local numbers and/or a toll free number.

 

Add an Extension to your Auto Attendant 

Extensions are the numbers in your Phone System menu that callers dial to reach a particular user.

Helpful Hint: If a user isn’t already in the system you can add them in this process.

Add an Extension
> Click on Add Extension

Extension Type

Standard - A standard extension should be used when you want to connect callers to specific person.
The extension is accessible via the Phone System Manager, it will be listed in the directory and will connect you to a user.

Creating a Standard Extension
Fill out the following fields:
  1. Phone System Extension - Auto assigned number but can be 1 to 999999
  2. Extension Name - Used for company directory listing
  3. Assign Extension To - You can use an existing user or add a user
  4.  Enable Company Directory  
  5. Click Next 
  6.  You will then be provided a prompt to update your greeting

 

Sub-Attendant -Use a Sub- Attendant when you want to provide an additional set of phone numbers to your callers. For example, create a sub-attendant extension for your Sales department with its own set of extensions for each employee.
Creating a Sub- Attendant Extension:
Fill out the following fields:
  1. Phone System Extension - Auto assigned number but can be 1 to 999999
  2. Sub Attendant Name
  3. Sub Attendant Direct Dial Toll Free Number: Direct Number for calling this Sub-Attendant
  4.  Enable Company Directory  
  5.  Click Next
  6.  You will then be provided a prompt to update your greeting

Info Only - Use Info Only extension when you want to provide callers with access to information without having to reach a live person. Info only feature plays a message and than returns to the greeting you have selected for your auto attendant.

Create Info Only User
  1. Phone System Extension - Auto assigned number but can be 1 to 999999
  2.  Enter Extension Name
  3. Enter Password
  4. Confirm Password
  5. Click Next 
  6.  You will then be provided a prompt to update your greeting
